WHAT IS PROPERTY CONTROL? |
- FUSD Property Control maintains the inventories and records of all purchases of Fixed Assets.
- Fixed Assets is the furniture, equipment, vehicles, buildings and building improvements, land acquisitions
and land improvements purchased by all FUSD sites and departments.
- School Districts in Arizona are required by law to maintain balanced records of purchases, disposals/transfers
and current inventories (by department and site) of the District's Fixed Assets.

ORDERING FIXED ASSETS

- Vehicles, Furniture and Equipment are all ordered following FUSD Purchase Request and Purchase Order procedures.
- All construction jobs are also required to request and receive a Purchase Order authorizing work to commence.

RECEIVING FIXED ASSETS
|
- Capital asset items must be SHIPPED TO the Warehouse Receiving at 5400 Railhead Ave.
- The items will be received into IFAS, "tagged" if necessary, and then will be delivered to the ordering site
by the receiving department staff.

DELIVERY OF FIXED ASSETS
|
- The Receiving Department is located at the Warehouse Building (5400 E. Railhead Ave.) This is the staff
that will receive the Fixed Asset merchandise, check it in, tag it and make deliveries of said merchandise.
- The Receiving Department is open 8am-1pm M-F to accept all incoming shipments to FUSD....
- THEN -- The Receiving Department makes daily deliveries to departments and sites between the hours of 1pm-4:30pm.
- Deliveries are scheduled for the Eastside of Flagstaff on Mondays and Wednesdays.
- Deliveries are scheduled for the Westside of Flagstaff on Tuesdays and Thursdays.
- Deliveries to the Admin Center and Maintenance are done on a daily M-F basis.
- Fridays are used by the Receiving Staff to manage delivery and pick-up work-flow needs

FUSD PROPERTY TAGS
|
- Items to be "tagged" as FUSD property include:
- Technology items valued at $500 or more will have an FUSD inventory tag placed on them. Technology items
are considered as any piece of equipment that needs to use a computer in its operation.
- Musical instruments valued at $500 or more.
- All other Furniture or equipment valued at $1,000 or more.
- Any piece of furniture or equipment valued at less than $1,000 (other than Technology or Musical instruments, above)
will NOT have an FUSD property tag placed on it. It will be the responsibility of the Site that ordered these items to keep track of them.

FORMS NEEDED
|
- Disposal (and Transfer Form) must be used when any asset is being removed from a site.
- Gifts & Donation form is used when someone wants to 'give' an asset item to the District.
